Construction Health and Safety File Checklist South Africa

A practical checklist for organising a South African construction health and safety file around project appointments, risk controls, competence, inspections and evidence.

Start with project requirements

Review the client specification, principal contractor requirements, scope, programme and applicable legal duties. Create a project-specific file index rather than assuming one universal checklist fits every site.

Confirm appointments and competence

Include applicable written appointments, acceptance records, organograms, competency evidence and communication of responsibilities. A signature alone does not prove that a person understands or performs the role.

Connect hazards to controls

The baseline and task risk assessments, method statements, safe work procedures, permits and toolbox talks should tell one consistent story about how work will be controlled.

Maintain live inspection evidence

Keep current records for plant, tools, access equipment, scaffolding, lifting activities, electrical equipment, excavation, housekeeping and personal protective equipment where applicable.

Close incidents and corrective actions

Record reporting, investigation, immediate containment, causes, actions, owners and verification. Evidence that an action was completed is as important as the action list.

Prepare handover records

Before demobilisation, reconcile the index, close outstanding findings, include final statistics and retain the required records in a controlled archive.
