Contractor Document Control Guide
A practical document-control system for drawings, specifications, procedures, forms, records, revisions, approvals and site distribution.
Create a controlled register
Record document number, title, type, owner, revision, approval, issue date, recipient and status. The register must reflect what people actually use.
Separate documents from records
Documents give instructions and change through controlled revision. Records prove completed work and should not be overwritten after approval.
Control distribution
Issue current information to defined recipients and withdraw or clearly mark superseded copies. Site teams need a reliable way to confirm the latest revision.
Protect evidence
Define storage, access, backup, retention and disposal. Protect signatures, personal information and commercially sensitive material.
Audit usability
Sample work areas and compare what is being used with the register. A perfect register does not help if the supervisor is building from an obsolete drawing.
