Separate company and project records
Company records prove identity, ownership, tax and registration status. Project records prove that a particular job is planned, resourced, controlled and completed. Maintain controlled folders for both.
Keep expiry-sensitive records current
Tax status, compensation documents, insurance, competency evidence, equipment inspections and other time-limited records require owners and review dates. Do not discover expiry on tender day.
Match documents to the opportunity
Every client and tender can specify different returnables. Build a compliance matrix showing each requirement, responsible person, source file, status and final submission location.
Protect authenticity and personal information
Use authoritative source documents, control signatures and restrict personal information. Do not alter certificates or reuse personal records without a legitimate purpose and suitable protection.
Create an evidence trail
Keep submission confirmations, correspondence, approvals, inspections, training, incidents, changes and handover evidence. A defensible record shows what happened, when and who accepted it.
