Identify the parties and work
Use correct legal names, contact information, site, quotation number, date and a specific description of the requested work.
Make the scope measurable
State quantities, materials, standards, finishes, responsibilities and deliverables. Distinguish included work from client-supplied items and exclusions.
Show pricing clearly
Explain whether amounts include VAT, how provisional items are treated, what rates apply and when variation pricing is required.
Set practical commercial terms
Address validity, deposit or payment stages, access, programme assumptions, delays, ownership of materials, cancellation and acceptance. Terms must comply with applicable law.
Control acceptance and changes
Require authorised written acceptance and record later changes before performing them where practicable. Keep the accepted quotation with supporting correspondence.
